JOHN SANKEY ESTATE AGENTS PRIVACY NOTICE MAY 2022 John Sankey takes privacy very seriously. This notice explains how we use the personal information you provide to us and that we obtain through third party sources, including how we share it with third parties. We are registered under the Data Protection Act 1998.

How we use your personal information.

1. To administer and manage our relationship with you
2. To deal with any enquiries we receive from you
3. To comply with applicable laws, regulations and rules
4. To provide you with details of our services and promotions
5. To notify you of changes to what we do
6. To make checks of credit reference agencies (rentals)
7. For the purpose of recovery of a debt in case of non payment.
In connection with these purposes, we may share your personal information with third parties that perform services on our behalf, such as Flyover who provide our Energy Performance Certificates, floorplans and photographs. Vebra our software providers, data of properties is updated each day to websites rightmove.co.uk, OntheMarket.com and johnsankey.com. We will also pass details to other connected estate agents involved in the chain of sales where deemed appropriate, as well as our mortgage provider Jon Staley at The Mortgage Store Mansfield upon your agreement. Upon finding a purchaser for your property your personal details i.e. name, address, telephone number and e mail address will be forwarded to solicitors in order that they can begin the conveyancing transaction. A surveyor, on behalf of the purchaser or building society may require access to your property – if this is the case, they will be given your contact details to arrange access unless we have a key.

As a regulated business we have a legal obligation to verify the identity of all individuals we work with. To ensure that this is done in a safe and convenient way for you, we use a market leading third party provider of ID checks, Thirdfort.
We may also disclose your personal information to third parties in other circumstances, in particular:
*if we are under a duty to disclose or share your personal information to comply with any legal obligation, or to enforce or apply our terms and conditions of trading and other agreements
*to protect the rights, property, or safety of our staff, our clients or others
*If necessary for debt recovery purposes.

From time to time we would also like to keep in touch with you, to provide details of new services or promotional offers, if you do not wish to be contacted with this please let us know.
Your rights in relation to your personal information
You have various rights under data protection law regarding processing of your personal information, including rights to:
*request access to personal information we hold about you and details of our processing of your personal information
*request us to correct inaccurate personal information
*request us to delete personal information in certain circumstances

How long do we retain your personal information
We will not keep your personal information longer than is necessary. We retain our files for seven years stored in a locked filing cabinet off site. After seven years the documents are shredded by a third-party company.
